Safeguarding Policy

Introduction: AIENAI Academy is committed to creating a safe and supportive environment for all learners, especially for the participants of our TeenUX program, which targets individuals between the ages of 13 and 19. We recognize that the safety and well-being of young people are paramount, and this policy outlines the measures we have in place to safeguard participants while they engage in our program.

1. Age Group Separation

To ensure age-appropriate interactions and learning experiences:

  • Participants aged 13 to 17 will not be placed in the same classes as those aged 18 and 19. This ensures that course content and peer interactions are suitable for each age group.

  • Course materials and collaborative activities will be tailored to match the cognitive and emotional development of each age group.

2. Internet Use and Browser Activity

While the TeenUX program requires internet access for online communication and collaboration, it does not depend on web browsing:

  • Downloadable Tools: The course is conducted using downloadable tools (like Zoom, Figma, Slack and Miro) and a Google Slides deck, minimising the need for internet browsing. This allows parents the option to turn off web browsing access if they have concerns about their child’s internet usage.

  • Parents are encouraged to monitor internet use if they feel it necessary. However, the success of the program is not contingent on full browsing access.

3. Communication Platforms

  • Slack: Communication between participants and instructors occurs primarily through Slack. We ensure the following:

    • Private messaging between participants is disabled to prevent unsupervised interactions.

    • Instructors and staff closely monitor group channels to maintain a positive and respectful environment.

    • No personal information is to be shared via Slack, and all communication must remain course-related.

  • Online Tools: Collaboration tools such as Figma and Miro are used within the cohort structure. All collaborative projects are monitored, and any inappropriate behaviour is reported and addressed immediately.

    • Use of these tools will be supervised to ensure that they are used appropriately for learning purposes only.

4. Privacy and Data Protection

We take data protection seriously, and all participant information is handled in line with applicable data protection laws:

  • Any personal data collected during the registration process is securely stored and only accessible to authorised staff.

  • No personal information about participants will be shared without prior consent from parents or guardians, except where required by law.

5. Safeguarding During Cohort-Based Learning

  • Cohort learning encourages peer collaboration, and we take measures to ensure that it occurs within a safe environment:

    • All cohort activities, including group projects and discussions, are supervised by instructors.

    • Participants are expected to adhere to the academy’s Code of Conduct, which emphasises respect, inclusion, and positive engagement.

6. Reporting and Handling Concerns

We have a clear procedure for reporting safeguarding concerns:

  • Any participant or parent who has concerns about their child’s safety or well-being while participating in the TeenUX program can report these concerns directly to our designated Team Coordinator.

  • All reports will be treated confidentially and investigated promptly, with appropriate actions taken to ensure the participant’s safety.

7. Instructor Training and Safeguarding Responsibilities

  • All instructors and staff working with participants in the TeenUX program are trained in safeguarding best practices.

  • Instructors are responsible for creating a positive and secure learning environment, monitoring participant interactions, and intervening where necessary to prevent bullying, harassment, or inappropriate behaviour.

9. Code of Conduct for Participants

  • All participants are required to follow the TeenUX program’s Code of Conduct, which includes the following:

  • Treating others with respect and kindness.

  • Engaging in all activities in a safe, responsible, and respectful manner.

  • Reporting any concerns to instructors or staff immediately.

  • Participants who violate the Code of Conduct may face disciplinary action, including removal from the program if necessary.
